Hall Biddle and Associates, Inc. (“Hall Biddle,” “we,” “us,” or “our”) is committed to communicating with our clients and prospective clients in a transparent and compliant manner. 3. How We Obtain Your Consent
We collect your consent to receive a text message verbally during an inbound phone call that you initiate to our office. Our AI phone receptionist will ask you—after your appointment has been confirmed—whether you would like to receive a text message confirmation. You are only added to receive an SMS if you respond with a clear verbal “yes” or equivalent affirmative.
* Consent is entirely voluntary.
* You will receive a disclosure that standard message and data rates may apply before you agree.
* You will be informed that you may opt out at any time by replying STOP.
* A timestamped record of your consent is retained in our systems.
4. Message Frequency
You will typically receive one (1) SMS per appointment booking. We do not send follow-up texts, reminders, or any other automated messages unless you separately request them and provide written consent at that time.
5. Message and Data Rates
Standard message and data rates may apply to text messages we send to you, depending on your mobile carrier and plan. Hall Biddle and Associates, Inc. does not charge any fee for SMS communications from our end.
6. How to Opt Out
You may withdraw your consent and stop receiving text messages from us at any time by:
* Replying STOP to any text message you receive from us. You will receive a single confirmation that your opt-out request has been processed, and no further messages will be sent.
* Calling our office at 888-529-0510 and asking a team member to remove your number from our messaging records.
Once you opt out, your phone number will be suppressed from future SMS communications and will not be messaged again without new, affirmative consent.

10. Supported Carriers
Our text messages are supported by most major US mobile carriers. Carrier support is not guaranteed for all carriers. Hall Biddle and Associates, Inc. and participating carriers are not liable for delayed or undelivered messages.
11. Changes to This Policy
We may update this SMS Consent and Opt-In Policy from time to time to reflect changes in law, carrier requirements, or our business practices. When we make material changes, we will update the “Last Updated” date at the top of this page. Continued receipt of messages after a policy update constitutes your acceptance of the revised terms, provided you retain the right to opt out at any time as described in Section 6.

Hall Biddle and Associates, Inc. captures SMS consent verbally during inbound phone calls that customers place to the agency’s main line. The call is handled by an AI phone receptionist that books insurance appointments. Once the appointment is confirmed, the AI receptionist asks the caller—in plain language—whether they would like to receive a single text message confirming their appointment details, and discloses that standard message and data rates may apply and that they may opt out at any time by replying STOP. The SMS is sent only if the caller provides a clear verbal affirmative response. The system automatically creates a timestamped consent record that captures the caller’s phone number, the date and time consent was given, the appointment reference ID, and the AI session identifier. This record is retained in the agency’s call and CRM logs and is available for audit. No SMS is sent if the caller does not explicitly agree. Consent is entirely optional and is never a condition of booking an appointment or receiving insurance services.

If the caller says YES (or any clear affirmative such as “sure,” “yes please,” “go ahead,” “that would be great”): The system logs a consent record timestamped to the call, associated with the caller’s phone number, appointment ID, and agent session ID, and queues the confirmation SMS for delivery.
If the caller says NO (or any non-affirmative response): The system does not send an SMS. No record of an opt-in is created. The appointment is confirmed verbally only.
Important compliance note: The opt-in question is asked after the appointment is already confirmed. Receiving the SMS confirmation is never presented as a condition of booking the appointment or obtaining insurance services.
